Privacy Policy

Last updated: September 2026

Sun Dog Strategies Inc. (“Sun Dog Strategies,” “we,” “us,” or “our”) respects the privacy of our website visitors, prospective clients, clients, and other individuals whose personal information we handle.

Our services are primarily provided to organizations. This Privacy Policy applies to personal information about identifiable individuals that we collect or handle in connection with our website, inquiries, business operations, and client engagements.

This Policy explains what personal information we collect, why we collect it, how we use and disclose it, how long we retain it, how we protect it, and the choices available to individuals.

Sun Dog Strategies handles personal information in accordance with applicable Canadian privacy laws, including Alberta’s Personal Information Protection Act (PIPA) and, where applicable, federal privacy legislation.

1. Personal Information We Collect

The information we collect depends on how you interact with us and the services you request.

Information you provide to us

We may collect information such as:

  • your name;

  • email address and other contact information you choose to provide;

  • organization name, position, and business contact information associated with an inquiry or engagement;

  • information submitted through contact, booking, or intake forms;

  • correspondence and communications with us;

  • information relevant to assessing, defining, or providing a service;

  • documents or other materials provided in connection with an engagement;

  • appointment and scheduling information;

  • billing information, transaction records, and payment status.

We seek to collect only information reasonably necessary for the relevant purpose.

Clients should avoid providing unnecessary sensitive personal information, passwords, authentication credentials, or personal information about third parties unless that information is reasonably necessary for an agreed engagement.

Payment information

Payments may be processed through third-party payment providers.

Where this occurs, payment-card or bank-account information may be collected directly by the payment provider rather than by Sun Dog Strategies.

We may receive information such as your name, billing details, service purchased, transaction amount, payment status, and related transaction records, but generally do not receive complete payment-card credentials.

Website and technical information

When you visit our website, we and our service providers may automatically process certain technical information, such as:

  • IP address;

  • browser and device information;

  • date and time of access;

  • pages viewed;

  • referring website or source;

  • interactions with the website;

  • cookie or similar identifiers, where applicable.

This information may be used to operate, secure, troubleshoot, and understand use of our website.

2. How We Use Personal Information

We may collect and use personal information for reasonable business purposes including:

  • responding to inquiries;

  • determining whether our services are suitable for a prospective client;

  • preparing quotes, proposals, or scopes of work;

  • providing consulting and advisory services;

  • reviewing information and materials provided as part of an engagement;

  • scheduling and conducting meetings;

  • preparing and delivering agreed deliverables;

  • processing and recording payments and invoices;

  • communicating about an inquiry, purchase, or engagement;

  • maintaining business, accounting, tax, and administrative records;

  • operating, maintaining, securing, and improving our website and business systems;

  • detecting or preventing fraud, misuse, or security incidents;

  • resolving disputes or enforcing agreements;

  • complying with applicable legal or regulatory requirements;

  • carrying out another reasonable purpose identified when information is collected or to which you otherwise consent.

We will not collect, use, or disclose personal information for purposes that are unreasonable in the circumstances.

Where consent is required, we will obtain consent appropriate to the circumstances. Consent may be express or implied where permitted by law.

3. Limiting Collection

We seek to limit the personal information we collect to what is reasonably necessary for the identified purpose.

Because our consulting work generally concerns organizations and their activities, clients should avoid providing personal information that is unrelated to the engagement.

If personal information is not reasonably necessary for our work, we may ask that it not be provided or take reasonable steps to remove or securely dispose of it.

4. How We Disclose Personal Information

We do not sell personal information.

We may disclose or make personal information available to service providers where reasonably necessary to operate our business or provide our services, including providers of:

  • website hosting and infrastructure and analytics;

  • email and business productivity services;

  • scheduling and videoconferencing;

  • payment processing and invoicing;

  • cloud storage and document sharing;

  • accounting and administrative systems;

  • information-security and technical support services.

We may also disclose personal information:

  • with your consent;

  • to professional advisers where reasonably necessary;

  • where required or permitted by law;

  • in response to a valid court order, subpoena, regulatory requirement, or other lawful process;

  • where reasonably necessary to investigate fraud, security incidents, or unlawful activity;

  • where reasonably necessary to protect the rights, safety, or property of Sun Dog Strategies, our clients, or others.

We do not disclose client information to third parties for unrelated advertising or marketing purposes.

5. Service Providers Outside Canada

Some service providers used by Sun Dog Strategies may store, process, or access personal information outside Canada.

Where personal information is handled by a service provider outside Canada, it may be subject to the laws of the jurisdiction in which it is processed and may be accessible to courts, law-enforcement agencies, regulatory authorities, or governments in accordance with those laws.

We take reasonable steps appropriate to the circumstances when selecting and using service providers that handle personal information on our behalf.

Information about the jurisdictions in which our service providers may process personal information, and the purposes for which they do so, is available by contacting us using the information in Section 15.

6. Cookies and Similar Technologies

Our website may use cookies and similar technologies for purposes such as:

  • providing necessary website functionality;

  • maintaining website security;

  • remembering user preferences; and

  • understanding website performance and usage;

We use Google Analytics to understand how visitors find and use our website. Google Analytics may process technical and usage information such as pages viewed, referring sources, website interactions, browser and device information, approximate location, and cookie or similar identifiers. Google Analytics uses first-party cookies to distinguish users and sessions. We do not intentionally provide names, email addresses, form contents, or other directly identifying information to Google Analytics.

Optional analytics technologies are loaded in accordance with the cookie choices available through our website. You may also manage or delete cookies through your browser settings. Disabling optional cookies may reduce the analytics information available to us but should not prevent access to the website.

7. Retention of Personal Information

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and for legitimate business or legal requirements.

Retention periods may vary depending on the nature of the information and the engagement.

For example, transaction, accounting, contractual, tax, or correspondence records may need to be retained after an engagement ends to meet legal, record-keeping, dispute-resolution, or business requirements.

When personal information is no longer reasonably required, we will take reasonable steps to securely delete, destroy, or anonymize it, subject to applicable legal requirements.

8. Accuracy

We take reasonable steps appropriate to the circumstances to ensure that personal information used to make decisions about an individual is accurate and complete.

You may contact us if you believe personal information we hold about you is inaccurate or incomplete.

9. Information Security

We use reasonable administrative, technical, and organizational safeguards appropriate to the sensitivity of the personal information we handle.

These measures may include:

  • access controls;

  • account and authentication security;

  • appropriate use of reputable service providers;

  • confidentiality practices;

  • secure storage and transmission practices where appropriate;

  • secure deletion or disposal procedures.

No electronic transmission or storage system can be guaranteed to be completely secure. Although we take reasonable precautions, we cannot guarantee absolute security.

10. Privacy and Security Incidents

If we become aware of a privacy or security incident involving personal information, we will assess and respond to the incident in accordance with applicable law.

Where notification to affected individuals, privacy regulators, or other parties is required by law, we will take the required steps.

11. Access and Correction

You may request access to personal information about you that is under our control and may ask us to correct inaccurate or incomplete information, subject to exceptions provided by applicable law.

Formal requests should be made in writing using the contact information in Section 15.

We may need to verify your identity before responding to a request.

Applicable law may permit or require us to withhold certain information, including information concerning another individual or information subject to legal privilege or another legal restriction.

12. Consent and Withdrawal

Where we rely on consent to collect, use, or disclose personal information, you may withdraw that consent subject to reasonable notice and any applicable legal or contractual restrictions.

Withdrawal of consent may affect our ability to provide a service where the personal information is reasonably necessary to provide that service.

Withdrawal does not affect uses or disclosures that were lawfully made before consent was withdrawn.

13. Third-Party Websites and Services

Our website may contain links to websites or services operated by third parties.

We are not responsible for the privacy practices, security, or content of third-party websites or services that we do not control.

We encourage users to review the privacy policies and terms of third-party services they choose to use.

14. Changes to This Privacy Policy

We may update this Privacy Policy periodically to reflect changes to our services, business practices, technology, or legal requirements.

The current version will be identified by the “Last updated” date at the top of this page.

Changes will apply prospectively unless otherwise required by law.
